Your Opportunity:

Emergency Health Services (EHS) provides critical emergency services to communities across Alberta. We are seeking a highly organized and proactive Administrative Assistant to support EHS leadership and staff in a fast-paced healthcare environment. The Administrative Assistant provides comprehensive administrative, operational, project, and coordination support to the Evidence and Innovation program. Reporting directly to the Program Chief, Evidence & Innovation and in close collaboration with the Medical Director of Evidence and Innovation and Training, this position supports research, quality improvement, innovation initiatives, knowledge translation activities, and grant-funded projects. The role coordinates grant development, funding applications, project documentation, stakeholder engagement, and departmental operations. The ideal candidate has strong organizational, communication, and customer service skills, experience in a healthcare environment, proficiency with Microsoft 365/Office applications; including OneDrive cloud storage, Teams, and Co-pilot, and the ability to work independently while supporting a multidisciplinary team. Provide advanced administrative support including calendar management, meeting coordination, correspondence, presentations, minutes, travel arrangements, and confidential records management. Coordinate grant application timelines, assist with drafting, editing and formatting grant proposals, track funding opportunities, gather and update supporting documentation, monitor reporting requirements, and maintain grant databases. Coordinate innovation, research and quality improvement projects, maintain project plans, support stakeholder engagement, coordinate ethics applications, and monitor deliverables and reporting. Process invoices, reconcile expenses, and recommend general workflow improvements.

Completion of post-secondary education (e.g. certificate in office or business administration).

Five years of progressively responsible administrative experience. Experience supporting grant applications, research administration, or project coordination, including the demonstrated ability to manage private health care information in compliance with organizational privacy and information policies. Advanced administrative skills, grant writing coordination, project management support, stakeholder engagement, communication, attention to detail, and Microsoft 365/office proficiency. Excellent written and oral communication skills. Ability to think creatively and support innovative service activities. Ability to problem solve and work independently.

Experience in healthcare, academic, research, or innovation environments and knowledge of grant funding processes. Demonstrated ability to effectively and responsibly use digital productivity tools to support administrative, project, and knowledge management activities while maintaining privacy, security, and data governance requirements. Knowledge of the Emergency Health Services – Alberta organization or field of paramedicine is considered an asset.
