Your Opportunity:

FM&E is seeking a highly organized and detail-oriented administrative professional to support the day-to-day operations of a healthcare facility’s maintenance and facilities services. This position provides an opportunity to contribute to a safe, efficient, and well-maintained healthcare environment by coordinating administrative processes, maintaining accurate records, supporting work order management, and assisting maintenance staff and leadership. The successful candidate will play an important role in ensuring maintenance requests, preventive maintenance activities, documentation, scheduling, purchasing, and communications are handled accurately and efficiently. This position requires strong organizational and communication skills, attention to detail, professionalism, and the ability to manage multiple priorities in a fast-paced healthcare setting. Completion of Grade 12 or equivalent.

The successful candidate will have strong administrative, organizational, communication, and customer-service skills, with the ability to work effectively in a fast-paced healthcare environment. Required qualifications include: High school diploma; post-secondary education in Business or Office Administration is an asset. Previous administrative or clerical experience, preferably in healthcare, maintenance, facilities, or operations. Strong organizational skills with the ability to prioritize multiple tasks and deadlines. Excellent written and verbal communication skills and the ability to work professionally with staff, contractors, vendors, and healthcare teams. Proficiency with Microsoft Office, including Outlook, Word, Excel, and Teams. Strong attention to detail and accuracy in maintaining records, work orders, schedules, invoices, and departmental documentation. Ability to follow healthcare privacy, safety, and organizational requirements. Demonstrated initiative, reliability, sound judgment, and the ability to work independently and as part of a team.

Experience with CMMS, work order, or purchasing systems is an asset. Experience in a healthcare maintenance or facilities environment; familiarity with preventive maintenance programs, work order management, purchasing processes, and applicable safety and regulatory requirements. Demonstrated initiative, reliability, sound judgment, and the ability to work independently and collaboratively are highly valued.
