Role Overview
Mid-level administrative operations role responsible for internal office systems, facilities logistics, and daily business operations.
The role reports to the Operations Manager or Head of Corporate Services and works with Procurement, HR, Finance, and IT infrastructure teams.
Responsibilities
- Manage corporate vendor contracts, office facilities, space allocation, and workplace safety standards.
- Audit operational expenses and track administrative budgets.
- Coordinate asset management, equipment records, maintenance schedules, and office inventory.
- Oversee supplier service-level agreements and external vendor performance.
- Implement SOPs to improve cross-departmental efficiency.
- Review invoices, reconcile budgets, and prepare monthly expense variance analyses.
- Lead administrative support teams and resolve operational bottlenecks.
Qualifications
- Bachelor’s degree or diploma in Business Administration, Operations Management, Supply Chain, Commerce, or a related discipline.
- At least two years of experience overseeing office operations, facilities, administrative workflows, and continuity.
- Experience sourcing suppliers, negotiating service contracts, evaluating SLAs, and managing procurement.
- Experience maintaining asset registers, tracking equipment, and managing office supply audits.
- Advanced Microsoft Excel or Google Sheets skills, including lookup functions, pivot tables, SUMIFS, and charting.
- Hands-on experience with ERP applications or administrative management platforms.
- Ability to implement SOPs and maintain health, safety, and regulatory compliance.
- Capability to analyze invoices, budgets, and monthly operational expense variances.
- Clear communication, stakeholder coordination, team leadership, and problem-solving skills.
- Strong organization, analytical judgment, resilience, and ethical asset protection standards.
