With a strong and growing presence across the UAE — including Reem Mall, BurJuman, Yas Mall, Souk Al Seef, and Bawabet Al Sharq Mall — we are looking for a reliable and organized Administrative Officer to support our Dubai Motor City office.

Role Overview

We are looking for a highly organized and proactive **Administrative Officer** to be the operational backbone of our UAE office.

This is a broad, hands-on role covering **administration, human resources, purchasing, and documentation**.

The ideal candidate thrives in a fast-paced F&B environment, takes ownership of their responsibilities, and is capable of managing multiple priorities independently.

You will work closely with management and branch teams to ensure the smooth day-to-day running of the business.

General Administration

  • Manage all day-to-day office operations at the Motor City headquarters
  • Handle internal and external correspondence, scheduling, and coordination between departments and branch managers
  • Organize and maintain company files, records, and databases in an orderly and accessible manner
  • Coordinate with government entities for trade license renewals, municipality requirements, and regulatory compliance
  • Manage office supplies, equipment, and facilities to ensure a well-functioning work environment
  • Support management with reports, meeting coordination, presentations, and follow-ups
  • Serve as the central point of contact for administrative matters across all UAE branches

Human Resources

  • Manage the full employee lifecycle administration: onboarding, contracts, probation tracking, renewals, and offboarding
  • Handle visa applications, Emirates ID renewals, labor contracts, and all PRO-related government transactions
  • Maintain accurate and up-to-date employee records and HR files
  • Track staff attendance, leave, and absence in coordination with branch managers
  • Support payroll preparation by providing accurate HR data (timesheets, deductions, additions)
  • Assist in recruitment administration: posting job ads, screening CVs, scheduling interviews, and issuing offer letters
  • Ensure company compliance with UAE labor law requirements

Purchasing & Supplier Management

  • Manage the end-to-end purchasing process for office supplies, packaging materials, uniforms, and non-food operational items
  • Source and evaluate suppliers, obtain quotations, and negotiate favorable terms
  • Raise and process purchase orders, track deliveries, and ensure timely receipt of goods
  • Maintain an organized purchasing log and reconcile invoices with the finance team
  • Build and maintain strong relationships with key vendors and service providers
  • Assist in managing supplier contracts and renewal schedules

Documentation & Compliance

  • Prepare, review, and manage all company documents including contracts, agreements, NOCs, and official correspondence
  • Ensure all business licenses, certifications (including Halal), and permits are valid and renewed on time
  • Maintain a structured document management system (physical and digital)
  • Support audit processes by providing accurate and complete documentation when required
  • Coordinate with legal counsel or PRO services for any documentation requiring government submission

Requirements

  • Bachelor's degree in Business Administration, Management, or a related field
  • Minimum **3–5 years of experience** in a similar administrative role, preferably in F&B, retail, or hospitality
  • Solid understanding of **UAE labor law, visa processes, and PRO procedures**
  • Experience in purchasing and vendor management
  • Proficient in MS Office (Word, Excel, Outlook, PowerPoint)
  • Strong organizational skills with excellent attention to detail
  • Ability to multitask, prioritize, and work under pressure with minimal supervision
  • Excellent communication skills in English (Arabic And French is a strong advantage)
  • Positive, can-do attitude with a team-player mindset
  • Prior experience working in an F&B or multi-branch business is a plus
