Job Summary

  • We are looking for a proactive, organized, and detail oriented Administrative Executive / Personal Assistant / Corporate Services Coordinator to support our management team in a fast paced corporate services environment.
  • This role is primarily responsible for administrative support, documentation, coordination, and ensuring that assigned tasks are completed efficiently.
  • The successful candidate will work closely with the Manager and coordinate with clients, colleagues, and external parties to ensure smooth day to day operations.

Key Responsibilities Administration & Executive Support

  • Report directly to the Manager and provide day to day administrative support.
  • Assist with documentation, filing, data entry, and record management.
  • Prepare letters, quotations, invoices, reports, and other business documents.
  • Organize and maintain digital and physical files.
  • Manage calendars, appointments, meetings, and correspondence as assigned.
  • Carry out administrative and operational tasks delegated by the Manager.

Key Responsibilities Coordination

  • Coordinate with clients to collect required documents and information.
  • Follow up on assigned tasks with internal teams and external service providers.
  • Maintain accurate records and update internal trackers.
  • Monitor task progress and provide timely updates to the Manager.
  • Ensure all documentation is complete before submission to the relevant team.
  • Assist in coordinating company formation, visa, licensing, banking, and other corporate service requests from an administrative perspective.

Key Responsibilities Reception & Client Service

  • Welcome clients and visitors in a professional and friendly manner.
  • Answer incoming calls, emails, and WhatsApp enquiries.
  • Prepare meeting rooms and serve refreshments to clients and guests.
  • Maintain a clean, organized, and professional reception area.

Requirements

  • Minimum 1 year of UAE experience in administration, customer service, office coordination, or a similar role.
  • Experience in a corporate services or business setup company is an advantage.
  • Excellent organizational and multitasking skills.
  • Ability to work efficiently in a fast paced environment.
  • Strong communication and interpersonal skills.
  • Good knowledge of Microsoft Office (Word, Excel, Outlook).
  • Professional appearance and positive attitude.
  • Ability to work independently, follow instructions, and meet deadlines.
  • Willingness to work from home or from the office based on operational requirements.
