GENERAL PURPOSE
The Administrative Coordinator preforms a variety of administrative duties that facilitate the day-to-day operations of a function, program, and/or department. Assists in program planning and development; interprets, monitors, and analyzes information regarding operating policies and procedures. May administer budgets and coordinates academic and/or staff personnel matters. Resolves problems that have a significant impact on the overcall goals of the department. Works directly with external constituents (i.e., executives, senior faculty, principals) and internal staff to resolve routine and non-routine issues.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Serves as the first point of contact for both internal and external constituents. Resolves issues and/or directs individuals to the correct person or resource within the organization with minimal supervision.
Plans and schedules events, prepares reports and maintains files and databases. Prepares correspondence, schedules and confirms appointments, shares documents and other materials and arranges travel.
Manages the schedule for the department or unit, including prioritizing requests and resolving scheduling conflicts. Makes suggestions to more efficiently run the department of unit. Initiates, schedules, and/or monitors the processing of hiring requests, budget transfers, contracts, requisitions, supplies and room reservation and setup.
Writes and edits internal communications. May assist supervisor in the development of public materials (e.g., brochures, websites, advertisements).
May lead a team of non-exempt employees to achieve a desired outcome. Manages work stream for the group and ensures achievement of objectives.
