About the Role
IHRPM is seeking an Administrative Assistant/Receptionist in Dubai to handle daily administrative tasks, manage the renting department, and coordinate with brokers. The role requires 1 year of administration and real estate experience.

Responsibilities
- Responsible for all daily administrative/secretarial work such as welcoming and greeting guests, answering telephone calls/queries, arranging meetings, taking minutes, and producing correspondence
- Handle the Renting Department: Preparation of Payment Schedules, Lease reservation, tenancy agreements, ejari contracts, no objection certificates and inspection reports, rent collection, payment follow up, receipts
- Coordinate with the Broker/watchman for Clients viewing the properties
- Deal and communicate with brokers, property consultant etc. for renting or selling of properties
- Post ADS in social media (Upload/update/check ADS listings in CRM /Property finder or other websites/ Facebook /Instagram /twitter /company or property websites)
- Daily Preparing a summary for the available, sold or booked units for rent, conduct general check ups on the properties and submit inspection reports and cancellation/termination
- Prepare leasing process and marketing strategy
- Get documents signed by landlords and tenants
- Follow up on bounced cheques, send notices and warnings to tenant and proceed with legal action

- Handle the Renting Department: Preparation of Payment Schedules, Lease reservation, tenancy agreements, ejari contracts, no objection certificates and inspection reports, rent collection, payment follow up, receipts and anything related to the tenants but not limited to letters, notices etc.
- Coordinate with the Broker/watchman for Clients viewing the properties.
- Deal and communicate with brokers, property consultant etc. for renting or selling of properties.
- Post ADS in social media (Upload/update/check ADS listings in CRM /Property finder or other websites/ Facebook /Instagram /twitter /company or property websites as needed).
- Daily Preparing a summary for the available, sold or booked units for rent, conduct general check ups on the properties and submit inspection reports and cancellation/termination for our properties. Send updated regular reports to departments concerned.
- Prepare leasing process and marketing strategy.
- Get documents signed by landlords and tenants.
