St. Mark’s School seeks a dynamic, highly organized, and collaborative Administrative Assistant & Office Manager to support the Assistant Head of School for Enrollment and oversee the daily operational, administrative, and hospitality functions of the Admission & Enrollment Office.
The ideal candidate will combine high-level administrative foresight with exceptional hospitality, ensuring smooth daily calendar and workflow execution for executive leadership while creating a welcoming, professional, and seamless environment for visiting prospective families, student tour guides, and campus partners. Additionally, this position will oversee and manage details of events, travel, presentations, etc.
Support to the Assistant Head of School for Enrollment
Calendar & Priority Management: Proactively manage and optimize the Assistant Head’s calendar and meeting preparation.
Communication & Briefing: Draft, proofread, and prepare reports, presentations, and meeting agendas for internal and external audiences.
Travel & Expense Coordination: Handle domestic and international travel arrangements, itinerary details, and expense report processing for enrollment leadership and travel team members.
Office Management & Enrollment Operations
Hospitality: Assist/oversee the day-to-day presentation and climate of the Admissions office, ensuring a warm, inclusive, and professional atmosphere for prospective students, families, consultants, and campus visitors.
Daily Office Operations: Manage office inventory, supply ordering, budget tracking/invoicing processing, etc. (printing/collateral stock, coffee/refreshments).
Admissions Workflow Support: Serve as a key operational contact within the admissions database, assisting with visitor check-ins, record maintenance, and processing prospective family inquiries and emails.
Event Coordination: In collaboration with the Admissions team, coordinate logistics for key enrollment events, including Open Houses, Revisit Days, campus tours, off-campus receptions, etc.
Student Ambassador & Tour Guide Assistance: Assist in scheduling, tracking, and coordinating student tour guides and parent volunteers for campus visits and special events.
Qualifications & Competencies
- Experience: Administrative support or office management experience, preferably in an independent school, higher education, or customer-centric non-profit environment.
- Technical Skills: High proficiency with Google Workspace and Microsoft Office Suite (Word, Excel, PowerPoint). Experience with enrollment/admissions CRM databases and travel/expense software is strongly preferred.
- Interpersonal & Communication Skills: Outstanding written, verbal, and listening skills. Ability to interact with diverse populations—including prospective families, alumni, trustees, faculty, and students—with warmth, discretion, and diplomatic tact.
- Organizational Mastery: Exceptional attention to detail, time management, and the ability to multitask in a fast-paced, high-volume seasonal environment.
- Discretion: Absolute integrity and commitment to maintaining strict confidentiality regarding sensitive student, financial aid, and personnel records.
