We are seeking an Administrative Assistant to handle calendars, office records, HR database updates, visa coordination, and vendor negotiations. The role requires at least 3 years of UAE admin assistant experience, a Bachelor's degree, and proficiency in Microsoft Office.

Responsibilities
- Handle and coordinate active calendars
- Make necessary arrangements for meetings between departments and/or between the organization and clients
- Compile office records and update files
- Provide ad hoc support around office as needed
- Update information of employees in HR database on daily basis and monitor expiries of visas, labour cards, passports, and licenses
- Coordinate and oversee day to day management of the office including maintenance and cleanliness
- Liaise with governmental bodies and authorities when needed
- Negotiate with vendors to obtain optimum quality, cost, terms etc.
- Compile documents for smooth onboarding and offboarding
- Maintain accurate filing system and control documentation
- Manage all accounting transactions
- Compile daily report and weekly progress report
Requirements
- Bachelor's degree or equivalent
- Strong interpersonal and communication skills
- Ability to multitask
- Proficient in Microsoft Office suite
- Strong time management
- Must be based in Dubai or willing to relocate
- Fluent in English (written and verbal)
