Responsibilities
- Update and maintain project information in the company's management systems
- Update and maintain project tasks, timelines, and records in Monday.com
- Ensure all project records, documentation, and system information are accurate and up to date
- Follow up with clients on a daily basis regarding project progress, approvals, payments, and required information
- Communicate professionally with clients via email and telephone
- Prepare and update project reports, schedules, quotations, and administrative documents
- Coordinate with internal departments to ensure smooth project execution
- Manage Microsoft Outlook emails and maintain organized correspondence
- Maintain accurate project files and ensure all documentation is properly filed
- Assist the Operations Manager with day to day operational and administrative tasks
- Perform any other duties assigned by the Operations Manager
Requirements
- Currently based in the UAE
- Spouse Visa or Own Visa (mandatory)
- Available to join immediately
- Excellent written and spoken English
- Strong business email writing and communication skills
- Excellent organizational and multitasking abilities
- Strong attention to detail
- Ability to work independently with minimal supervision
- Ability to work under pressure and meet deadlines
- Professional attitude with excellent time management skills

About the Role
- The Xmas Designers is looking for a highly organized, proactive, and detail oriented Administrative Assistant to support our Project Management & Operations Department on a 6 month temporary contract.
- The successful candidate will report directly to the Operations Manager and will play a key role in ensuring project information is maintained accurately, client communications are handled professionally, and daily administrative operations run smoothly.
Key Responsibilities
- Update and maintain project information in the company's management systems.
- Update and maintain project tasks, timelines, and records in Monday.com.
- Ensure all project records, documentation, and system information are accurate and up to date.
- Follow up with clients on a daily basis regarding project progress, approvals, payments, and required information.

Contract Details
- Contract Duration: 6 Months (Temporary Position)
- Working Hours: Monday to Friday, 9:00 AM – 6:00 PM. Due to the nature of our business, the candidate must be willing to work additional hours when required to support project deadlines and operational needs.
- Pay: AED2,500.00 AED3,000.00 per month
