Role Description

  • The Administrative Assistant / Administrative Executive / Office Administrator is a full time remote role responsible for providing comprehensive administrative support to the Association’s leadership and project teams.
  • Day to day tasks include managing calendars, scheduling meetings, organizing virtual events, and coordinating internal and external communications.
  • The role involves preparing and formatting documents, maintaining digital filing systems, handling correspondence and phone calls, and supporting basic reporting and data entry.
  • The individual will assist with tracking project deadlines, updating contact lists, and ensuring that administrative processes run smoothly and efficiently.

Qualifications

  • Candidates should possess strong Administrative Assistance and Clerical Skills to manage calendars, documentation, and day to day office operations.
  • Candidates should possess Executive Administrative Assistance capabilities to support leadership with scheduling, preparation of materials, and coordination of virtual meetings.
  • Candidates should possess clear and professional Communication skills, both written and verbal, for interacting with internal teams and external stakeholders.
  • Candidates should possess professional Phone Etiquette to handle calls, messages, and remote inquiries in a courteous and organized manner.
  • Relevant experience in remote administrative work or office coordination, ideally within consulting, logistics, or professional services environments.
  • Proficiency with office productivity tools (e.g., word processing, spreadsheets, presentation software, online conferencing platforms) and digital filing systems.
  • Strong organizational skills, attention to detail, reliability, and the ability to prioritize multiple tasks and deadlines.
  • High school diploma required; post secondary education in business administration, office management, or related fields is beneficial.
