During the first six months, the role receives structured cross-training in the Medical Operations Coordinator role to provide operational coverage when required.

Position Summary
The Administration Coordinator provides administrative and coordination support to the Practice Manager across HR, payroll, finance, health and safety, compliance documentation, and general administration.
The role focuses on accurate, timely, organized, and well-documented administrative processes while tracking deadlines, requirements, records, and outstanding items.
During the first six months, the role receives structured cross-training in the Medical Operations Coordinator role to provide operational coverage when required.
Core Responsibilities
- Process invoices, assist with accounts receivable, prepare month-end documentation, support reconciliations, maintain financial records, and prepare routine reports.
- Collect and verify timekeeping information, prepare payroll documentation, track payroll-related information, investigate discrepancies, and maintain confidential payroll records.
- Maintain employee records, coordinate onboarding and offboarding administration, track training and certifications, and support HR documentation and communications.
- Maintain health and safety records, including OHSA and WHMIS requirements, incidents, inspections, training, meetings, and follow-up items.
- Coordinate meetings, reports, calendars, deadlines, action items, Board preparation, internal communications, and special administrative projects.
