Job Overview

  • We are seeking a highly organized, proactive, and detail oriented Real Estate Sales Admin / Real Estate Sales Coordinator to provide vital administrative, operational, and marketing support to our real estate team.
  • You will be the bridge between our agents, our clients, and our property portals.

Duties and Responsibilities

  • Portal & Listing Management: Upload, update, and optimize property listings on Bayut and Property Finder, ensuring accurate location mapping and compliance with portal guidelines.
  • Credit & Data Tracking: Maintain structured Excel spreadsheets to track agent credit consumption, lead allocations, and team performance metrics.
  • Agent & Calendar Support: Assist real estate agents in managing their daily schedules, coordinating property showings, and setting up client appointments.
  • Communication & Customer Service: Handle incoming phone calls and emails from clients and vendors with excellent customer service; draft clear, professional business correspondence.
  • Documentation & Compliance: Organize, review, and maintain files, agreements, and transaction documents (e.g., Title Deeds, listings permits, and contracts).
  • Marketing & Online Presence: Assist in preparing and distributing marketing materials for properties, as well as updating social media accounts and the company's online presence.
  • Market Research: Perform basic research on real estate market trends, property values, and location data as needed.

Requirements & Qualifications

  • Experience: 1–3 years of experience as a Real Estate Assistant, Coordinator, or Administrator within the UAE Real Estate market.
  • Platform Expertise: Direct, hands on experience using Property Finder and Bayut backend dashboards.
  • Technical Skills: Proficiency in standard CRM systems; solid Excel skills (comfortable filtering data, managing tracking logs, and using formulas like SUBTOTAL or SUMIF).
  • Communication: Flawless verbal and written English skills; highly comfortable drafting formal corporate emails.
  • Attributes: Exceptional time management, high attention to detail (zero tolerance for typos or wrong property locations), and a helpful, peer oriented attitude toward the sales team.
