About the Role

Polymer in Stock is seeking an Admin & Logistics Coordinator for its Logistics & Administration department.

The role coordinates export logistics, shipping documentation, shipping-agent communication, and day-to-day office administration.

The position suits someone experienced in international shipping, export documentation, Letters of Credit, and shipping-agent coordination.

Logistics & Export Coordination

  • Prepare, coordinate, and maintain export and shipping documentation.
  • Coordinate vessel bookings and shipment arrangements with shipping agents and freight forwarders.
  • Negotiate competitive shipping and freight rates.
  • Provide shipment status, vessel schedule, ETD, ETA, and documentation updates to the Sales Team.
  • Coordinate ED and related customs or shipping documentation.
  • Review invoices, packing lists, bills of lading, certificates, and other export documents for accuracy and consistency.
  • Handle Letter of Credit documentation and coordinate with banks and internal teams when required.
  • Maintain shipment records and correspondence, and resolve documentation or shipment issues.

Administration

  • Manage day-to-day administrative activities and keep the office organized and supplied.
  • Monitor and arrange office supplies and stationery.
  • Maintain filing systems, records, and company documentation.
  • Coordinate with suppliers and service providers and provide general administrative support to management and the wider team.
  • Handle other administrative and coordination tasks as assigned.

Requirements

  • 2–5 years of experience in logistics, shipping, export documentation, or a similar role.
  • Strong experience with international export documentation and shipping procedures.
  • Practical experience with shipping agents, freight forwarders, and vessel bookings.
  • Hands-on experience with Letter of Credit documentation is essential.
  • Good understanding of export and customs documentation.
  • Strong follow-up, coordination, communication, negotiation, organizational, and time-management skills.
  • Proficiency in Microsoft Office, particularly Excel and Outlook.
  • Ability to work independently and manage multiple shipments and administrative tasks simultaneously.

Preferred Candidate

The preferred candidate is detail-oriented, highly organized, proactive, and comfortable communicating with shipping agents and logistics providers.

The candidate should be confident negotiating freight rates and able to manage logistics responsibilities alongside general office administration.

The candidate should be reliable, responsible, and able to work under time-sensitive conditions.
