About the Role
A signage and exhibition contracting company in Dubai is looking for an Admin cum Procurement Executive to handle administrative tasks, procurement, and coordination with production.

Responsibilities
- Assume the role as the primary point of contact between the directors, office executives and internal/external clients
- Answer, screen and forward incoming phone calls
- Receive and sort daily mail
- Monitor and arrange material purchase for ongoing jobs, office supplies and research advantageous deals or suppliers
- Maintain daily staff attendance, factory machines maintenance requirement arrangements, coordination with production department
- Handle requests, feedback, and queries quickly and professionally
- Coordinate employees leave applications and updates with directors, travel arrangements as needed
- Take dictation and meeting minutes, accurately enter notes and distribute
- Handle material procurement/purchase and coordination with Production Dept.
- Assist with RTA and other Government related documentation works
- Monitor office supply levels and reorder when appropriate
- Maintain strong relationships with vendors and keep price data to get best pricing
Requirements
- Minimum 2 years’ experience as an Executive Administrative Assistant, Senior Executive Assistant or in other secretarial position
- Full knowledge of office management systems and procedures
- Basic bookkeeping and math skills
- Proficiency in English
- Exemplary planning and time management skills
- Ability to multitask and prioritize daily workload
- High level verbal and written communications skills
- Discretion with personal and confidential information
- Current in today’s office technology, and computer software including MS Office
