Job Overview

  • We are looking for a detail oriented and organized Administrative Assistant to join our team.
  • You will serve as the backbone of our daily office operations, supporting management and ensuring the workplace runs smoothly.
  • The ideal candidate is a proficient communicator, a master of multitasking, and thrives in a fast paced environment.

Key Responsibilities

  • Front Desk Coverage: Greet clients, visitors, and vendors with a professional and welcoming demeanor.
  • Mail & Deliveries: Sort and distribute incoming mail, packages, and couriers; manage all outgoing shipments.
  • Inventory Management: Monitor and order office supplies, kitchen stock, and printing materials to ensure zero downtime.
  • Facilities Coordination: Serve as the point of contact for building management, maintenance, and IT support issues.
  • Scheduling: Manage executive schedules, coordinate internal/external meetings, and resolve calendar conflicts.
  • Correspondence: Screen and route incoming phone calls, take accurate messages, and draft professional emails/letters.
  • Event Planning: Coordinate logistics for company meetings, workshops, team building events, and caterings.
  • File Management: Maintain digital and physical filing systems, ensuring documents are accurately organized and easily retrievable.
  • Reporting: Assist in preparing presentations, spreadsheets, monthly expense reports, and meeting minutes.
  • Data Integrity: Update internal databases with client, vendor, and project information.

Requirements & Qualifications

  • Experience: Freshers preferred
  • Tech Savvy: High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) or Google Workspace (Docs, Sheets, Slides).
  • Communication: Exceptional written and verbal communication skills.
  • Soft Skills: Strong time management skills, a high level of discretion for confidential information, and a proactive problem solving mindset.

Preferred Skills (Nice to Haves)

  • Experience with project management tools.
  • Basic bookkeeping experience or familiarity with QuickBooks.

Compensation

  • Pay: AED 1,500.00 AED 2,000.00 per month
