Responsibilities
- Greet clients, visitors, and vendors at the front desk
- Sort and distribute incoming mail, packages, and couriers; manage outgoing shipments
- Monitor and order office supplies, kitchen stock, and printing materials
- Serve as point of contact for building management, maintenance, and IT support issues
- Manage executive schedules and coordinate internal/external meetings
- Screen and route incoming phone calls, take messages, and draft professional emails/letters
- Coordinate logistics for company meetings, workshops, team building events, and caterings
- Maintain digital and physical filing systems
- Assist in preparing presentations, spreadsheets, monthly expense reports, and meeting minutes

Job Overview
- We are looking for a detail oriented and organized Administrative Assistant to join our team.

Key Responsibilities
- Front Desk Coverage: Greet clients, visitors, and vendors with a professional and welcoming demeanor.
- Mail & Deliveries: Sort and distribute incoming mail, packages, and couriers; manage all outgoing shipments.
- Inventory Management: Monitor and order office supplies, kitchen stock, and printing materials to ensure zero downtime.
- Facilities Coordination: Serve as the point of contact for building management, maintenance, and IT support issues.
- Scheduling: Manage executive schedules, coordinate internal/external meetings, and resolve calendar conflicts.
- Correspondence: Screen and route incoming phone calls, take accurate messages, and draft professional emails/letters.
- Event Planning: Coordinate logistics for company meetings, workshops, team building events, and caterings.
- File Management: Maintain digital and physical filing systems, ensuring documents are accurately organized and easily retrievable.

Requirements & Qualifications
- Experience: Freshers preferred
- Tech Savvy: High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) or Google Workspace (Docs, Sheets, Slides).
- Communication: Exceptional written and verbal communication skills.
- Soft Skills: Strong time management skills, a high level of discretion for confidential information, and a proactive problem solving mindset.
Preferred Skills (Nice to Haves)
- Experience with project management tools.
- Basic bookkeeping experience or familiarity with QuickBooks.
