About the Role

  • We are seeking a highly organized and proactive Admin Assistant / Secretary to join our team.
  • The ideal candidate will have experience handling travel arrangements, booking hotels, and managing properties.

Responsibilities

  • Greet and assist visitors in a professional and friendly manner.
  • Manage incoming calls and emails, directing them to appropriate team members.
  • Schedule and manage appointments, meetings, and conference room bookings.
  • Plan and coordinate domestic and international travel, including flights, accommodations, and transportation.
  • Research and book hotels, ensure travel itineraries are efficient and cost effective.
  • Assist with preparation of travel documents, such as visas and itineraries.
  • Oversee scheduling of property maintenance and repairs.
  • Communicate with vendors and service providers to ensure properties are in top condition.
  • Maintain accurate property records, including lease agreements and maintenance logs.
  • Handle office supplies and inventory management.
  • Assist with data entry, filing, and other clerical tasks.
  • Support management with ad hoc tasks and project coordination.

Requirements

  • Proven experience as an Admin Assistant, Receptionist, or similar role.
  • Strong organizational skills and ability to multitask.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office software.
  • Ability to manage travel logistics and property related tasks.
  • Familiarity with property management software (preferred but not required).
  • A professional, friendly, and approachable demeanor.

Preferred Qualifications

  • Prior experience in travel coordination and hotel bookings.
  • Knowledge of property management processes.
  • Ability to work independently and as part of a team.
