Job Summary
Velement Worldwide is seeking a highly organized and detail-oriented Admin & Accounts Coordinator to support our Dubai operations.
This role combines administration, accounting coordination, payroll support, procurement coordination, and operational follow-up within a fast-paced signage and construction-related environment.
The ideal candidate should have experience handling construction-related invoicing, payment tracking, payroll assistance, VAT documentation, and preparing accurate reports for external accountants.
Strong organizational skills and attention to detail are critical for this role.
Key Responsibilities
- Prepare invoices, quotations, LPOs, purchase orders, and payment records
- Handle construction and project-based invoicing and documentation
- Coordinate with the company accountant by preparing accurate monthly reports and supporting documents
- Assist with payroll preparation, staff records, attendance tracking, and payment coordination
- Ensure VAT-related documentation and financial records are maintained properly
- Track accounts payable and accounts receivable
- Follow up on supplier payments, client collections, and pending invoices
- Maintain organized financial and operational filing systems
- Coordinate procurement activities and supplier communication
- Support day-to-day office administration and operations
- Coordinate internally with sales, production, and installation teams
- Maintain Excel reports, project trackers, and operational logs
Requirements
- 3–5 years UAE experience preferred
- Experience in construction, signage, fit-out, manufacturing, or related industries is strongly preferred
- Experience with construction/project invoicing is required
- Familiarity with payroll coordination and attendance tracking
- Good understanding of invoicing, payment tracking, VAT documentation, and reporting
- Strong Microsoft Excel and Microsoft Office skills
- Strong organizational and multitasking abilities
- Good English communication skills
- Detail-oriented, responsible, and proactive
- Pay: AED3,500.00 - AED5,000.00 per month
